Information and Conference Technology

Overview:

The purpose of this chapter is to provide a comprehensive overview into the requirements of the annual meeting for both information technology and audio-visual equipment and staffing.

The chapter is written in language that experts in this area will comprehend and it is recommended that this be handed directly to the partners appointed by the host country as a briefing document to ensure clarity in terms of ADB’s expectations of the host country deliverables.

ADB provides specialist inhouse IT and technical personnel who are able to assist with the briefing should the appointed partners have queries on the brief or require additional information.

Important Information:

  • All information and conference technology equipment is provided by the host country.
  • The host country provides and ensures:
    • uninterrupted power supply and strong and reliable internet connectivity (cable and wi-fi with back-ups) during Annual Meeting.  Refer to the cost-sharing agreement (CSA) for details. These should be tested at least a week before the meeting
    • 24-hour maintenance service for all equipment, as well as a help desk
    • dedicated technical operators assigned to the same meeting rooms throughout the Annual Meeting
    • a telephone service with a 24-hour, uninterrupted power supply, with extensions for internal and local calls in all meeting venues. Some telephones must have international direct dial (IDD) facilities, and some must have secretary–boss, boss–secretary facilities. ADB provides a list of IT and telecoms requirements for each ADB staff. Once telephones lines have been installed, they must be tested, and the rewired if there are any problems
  • The host country, in partnership with ADB, implements logical controls on ADB IT systems (e.g. patch, antivirus, and security).
    • For systems rented by ADB, the ADB IT team implements logical controls. 
    • Responsibility for logical controls on network infrastructure (e.g. network segregation, web filtering and firewalls) will be shared by the host country and ADB IT teams.
  • It is important for ADB to have the landline telephone/cell phone numbers as early as possible, and preferably by March before the Annual Meeting, to include them in the directory, which is provided to all participants.
