Information and Conference Technology

Overview:

The purpose of this chapter is to provide a comprehensive overview into the requirements of the annual meeting for both information technology and audio-visual equipment and staffing.

In recent years, Information Technology and Audio-Visual requirements are becoming essential to ensure.

The chapter is written in language that experts in this area will comprehend and it is recommended that this be handed directly to the IT coordinator and relevant partners appointed by the host country as a briefing document to ensure clarity in terms of ADB’s expectations of the host country deliverables.

ADB provides specialist inhouse IT and technical personnel who are able to assist with the briefing should the appointed partners have queries on the brief or require additional information.

Important Information:

  • All information and conference technology equipment is provided by the host country.
  • The host country provides and ensures:
    • uninterrupted power supply supporting strong and reliable internet connectivity (cable and wi-fi with back-ups) during Annual Meeting.  Refer to the cost-sharing agreement (CSA) for details. These should be tested at least a week before the meeting
    • office computing equipment such as laptops, printers and monitors are available at designated areas with support services available during office hours
    • dedicated technical operators assigned to the meeting rooms throughout the Annual Meeting
    • local SIM cards and desk phones provided for select ADB personnel and locations
    • cybersecurity controls are in place to prevent, detect and respond to security intrusions
