4. Schedule of Host Country Activities
Once an agreement on the meeting venue has been reached, a schedule of host country activities (prepared using MS Excel) is submitted for general guidance of the host country in its preparations. The schedule is arranged in alphabetical order, by principal tasks, and includes the timing for each activity requiring action by the host country. References to the months of July and November in the schedule are for the discussions to take place during (i) the ADB establishment mission to the host capital and host city (usually in July/August), and (ii) the HOC visit to ADB headquarters (usually in November). References to February/March are for the discussions to take place during the ADB technical mission to the host country.
