Meeting Setups

19.2. Floor Plans and Layout

  1. An effective way to allocate room space in the meeting venue is through the use of floor plans and layouts diagram which are managed by HC and shared with ADB. The floor plans show the location of the offices and meeting and function rooms in relation to the meeting venue, and give directions to the participants. The layouts are for setups of the individual rooms and are used for the detailed planning of furniture and equipment.  
  2. The host country provides accurate, updated architectural plans of all room venues for each meeting, in consultation with ADB. These plans should be prepared by the appointed PCO or event organizers and must include to-scale furnishings, positioning of any audio-visual equipment and AV desks, signage and catering equipment inside the room.
