16.1. Chauffeur-Driven Cars

  1. The host country provides chauffeur-driven cars for official purposes to those outlined in the following table.

  2. Generally, cars for Governors, Heads of Delegations, the ADB President, and other special guests are made available at the airport from the dates of arrival (but not earlier than 2 days before the opening of offices) until their departure or 1 day after the close of the meeting. Some Governors and Heads of Delegations may arrive earlier or leave later to participate in official meetings. In such circumstances, ADB informs the host country as soon as information has been received so that those cars may be provided for a longer period of time.
  3. Cars for the Board of Directors, Vice-Presidents, Managing Director General, Dean of the ADB Institute, and The Secretary are made available at the airport from the date of their arrival until their departure.
  4. For the ADB Secretariat, one of the six secretariat cars is made available for the ADB advance team, usually 2–3 weeks earlier than the others. The dates required for the other cars are provided near the time of the meeting.
  5. In addition, VIPs, such as members’ heads of state and/or government and others of ministerial rank or higher; members of a royal family; eminent seminar speakers (e.g., Nobel laureates); former heads of state and/or government; governors of central banks; heads of multilateral organizations; and selected observers, may also be provided chauffeur-driven cars at the discretion of the host country and in accordance with its protocol.
  6. If the meeting is across multiple venues that require transport between them, the host country coordinator and other partners such as the PCO and some third party vendors (e.g. caterers) may also require vehicles.
  7. Vehicle requirements for the host country are to be defined by the host country coordinator and organized directly with the appointed transport company.
