18.1. Communication Center, Internet Center and Cell Phone Counter

A. Communication Center

Communication is provided at each meeting venue to provide facilities for delegates to make outgoing overseas calls and send faxes. Arrangements must be made either through the venue, hotel or PCO to collect payment for telephone calls directly from users, including by internationally accepted credit cards, cash, or a pay card purchased for the duration of the meeting. The communication center for telephones and faxes may be separate from the internet centers.


B. Internet Centers

  1. The internet centers are fully equipped with internet-connected workstations to facilitate e-mail communication. About 20 computer terminals are required in each internet center. Free Wi-Fi should also be available at the meeting venues. If participants have to pay for printing, arrangements must be made to install a printer and collect payment directly from users at the internet centers.
  2. Charging stations for electronic devices should be set-up near the internet centers.  These charging stations should provide a multiple of points and connectors so that it is compatible with most or all phone types.
  3. The communication and internet centers should be open from the opening of offices to the end of the meeting (i.e., days 1 to 4) and be operational and staffed from 8:00 a.m. to 6:00 p.m. daily. Special arrangements should be made for these services to be open in case the meeting falls on a weekend or a public holiday. Appendix 121 contains photographs.

C. Cell Phone Counter

The cell phone counter provides cell phones for rent and sells prepaid cards and SIM cards. It should accept international credit cards. The prepaid cards, recharge cards, and IDD cards should be readily available at the event venue during operating hours.
