Registration

17.8. Registration Schedule and Venue

  1.  Usually, the registration center is open from 7:30 a.m. to 5:30 p.m. every day during the meeting.
    For issuance of badges to pre-registered participants and to register additional people onsite, the registration center is located inside or near the meeting venue, the exact site to be determined in consultation with ADB and the host country however it may need to accommodate many hundreds of delegates at one time so scale is of importance.
  2. Usually, the registration center is open from 7:30 a.m. to 5:30 p.m. every day during the meeting.
  3. The registration center should have adequate office facilities, which include toilets and potable water sources, and provide an environment conducive for working and receiving guests, including VVIPs, who would register. The registration center should have an information desk which can assist participants with their administrative and logistical queries.
  4. The design of the registration center should include logistics planning that incorporates an effective queueing system similar to that of an airport or similar.
  5. If there is not sufficient space within the convention center for a dedicated registration area, one may need to be either built - in the form of a marquee or similar - or a separate venue/space hired.
  6. The registration center needs to be fully air-conditioned, branded and furnished appropriately.
  7. The registration center requires a registration counter to house 4 desks and a storage area for delegate bags. The counters ideally need removable signage for ease of changing lanes.
    If there are no built in registration counters available at the venue, sample custom registration counters custom built for the annual meeting can be found in Appendix 115.
